Ohana Care and Transportation provides non emergency medical transportation across Central Kentucky. This policy explains what information we collect when you call us, book a ride, or use this website, how we use it, and what choices you have.
This policy covers this website and the bookings we take by phone, email, and text. It applies to riders, to the family members and caregivers who book on their behalf, and to the facility staff who arrange trips with us.
We collect only what we need to schedule and complete a ride safely. That falls into four groups.
To schedule a ride we may learn the type of appointment you are attending, the facility you are going to, and the assistance you need. That information exists only so the right vehicle and the right driver arrive prepared.
We do not ask for your diagnosis, your medical records, or your treatment details, and you should not send them to us. If you provide information we do not need, we will not use it.
Our drivers are told what they need to complete the trip safely and nothing more. We do not discuss riders with anyone outside the trip, and we do not use rider information in marketing, on social media, or in photographs.
When you give us your phone number to book a ride, we may contact you by call or text about that ride. That includes confirming a pickup time, telling you a driver is on the way, and reaching you if something changes.
Message and data rates may apply. Reply STOP to any text to opt out of messages, or tell us on the phone and we will note it. Opting out of texts does not cancel your bookings, and we will still call you when we need to reach you about a scheduled trip.
We do not share your phone number with third parties for their own marketing.
We keep trip and billing records as long as we need them for accounting, insurance, and licensing purposes, and for as long as any applicable law requires.
Booking notes about your access and mobility needs are kept while you are an active rider so that a driver arriving at your address knows what to expect. If you tell us you no longer want those notes kept, we will remove them.
Website analytics data is kept in aggregate and is not tied to your booking records.
We limit access to rider information to the people who need it to do their work. Payment card details are handled by our payment provider and are not stored on our systems.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach affects your information, we will notify you as required by Kentucky law.
Call or email us using the details at the end of this policy and we will handle the request. We may need to verify who you are before we act on it.
This website is not directed to children and we do not knowingly collect information from children through it.
When we transport a minor, the booking is made by a parent, guardian, or authorised caregiver, and the information we collect is limited to what the trip requires.
This site links to other websites, including Google and the pages of facilities we serve. We do not control those sites and this policy does not cover them. Read their policies before giving them information.
We may update this policy as our services or the law change. When we do, we will update the date at the top of this page. If a change is significant, we will make that clear rather than quietly editing the text.
